Alaska Native Heritage Center - Office Coordinator position available.  Great opportunity for multi-talented service minded individual!

General Description - Provides administrative, financial, accounting and organizational support to the Executive, Finance and Development Directors, and other staff as needed.  Also supports other departments and employees when needed.

Essential Responsibility Areas:

Finance/Accounting Support - Responsible for Accounts Payable, Accounts Receivable, Cash Receipts, and Daily Sales.  Also facilitates bank deposits and payments received over the phone.  Assists with the preparation of Form 1099’s and collection of Form W-9’s.  Assists Finance Director with reconciliations of subsidiary ledger accounts to the general ledger and enters journal entries as directed to ensure a timely month end close.

Executive Support - Provides a high level of administrative and related support services to the Executive Director, Board of Directors and Committee Chairs, and other staff as needed.  Attends Quarterly Board and Committee meetings while recording and completing minutes.  Handles logistics for board and committee meetings including the following: agendas, presentation equipment, meeting rooms, meals, invitations, correspondence, handouts, etc.

Office Support Coordinator - Respond to requests for support from staff and departments. Ensure smooth operations of the office including office machines, supplies, mail and coordinate with facility and maintenance staff.  Maintain company files for various departments, including administering the retention, and disposal of records.

Development and Marketing Support - Supports development department with donor receivables and donor data entry into Donor Perfect.   Responsible for facility rentals support, customer relationship management and vendor liaison. Assist donor communications via letters, emails, gifts; creating invitations and announcements, calendar scheduling, follow-up calls; entering data and maintain Donor Records, event coordination and implementation support. Assist and supports other staff in the coordination of marketing materials, tracking annual advertising spend, maintain calendar of advertising due dates, keeping social media up to date, coordinate the creation of various brochures and communications, compiling and monitoring requests to update the website, email newsletters, monitor marketing plan .
