Payroll and Accounting Clerk

Job Summary

Under supervision of Director of Finance or designee, the Payroll and Accounting Clerk provides general administrative and accounting supports to include things like preparation of invoices, reconciliations, new hire intake and orientations, maintenance of electronic and paper files, benefit package enrollment, resource for employee inquiries.  Will provide administrative, accounts receivable, and payroll related supports as requested.

Essential Job Duties Include, not limited to:

  • Accurately and timely:
    • Process invoices and credit memos, ensuring appropriate authorizations and coding;
    • Reconcile customer payments to outstanding invoices, ensuring entry of all outstanding activity and accuracy of eventual payments;
    • Process customer statements and perform collections duties as necessary;
    • Input employee information for HR and PR related activities;
  • Maintain accounts receivable, customer payments and contracts, and purchasing documents in electronic and/or hard copy;
  • Ensure new hire paperwork is completed accurately and on-time;
  • Provide general HR supports by orienting new employees, being a point person for employee inquiries, assisting with benefits enrollment and management, and others;
  • Provide administrative supports;
  • Provide payroll processing supports;
  • Provide accounts payable support;
  • Assists co-workers and management as requested.

  • Ability to multi-task while maintaining strict attention to detail;
  • Ability to have reliable attendance and be flexible in working an evening or weekend day when work- loads are excessive;
  • Ability to recognize opportunities to contribute in other areas when individual work-loads are light;
  • Skilled in excel, word and other computer software;
  • Skilled in verbal and written communication;
  • Knowledge of basic accounting concepts and ability to learn more advanced ones;

Education/Experience Requirements

  • Minimum two years working in an office environment, demonstrating increasing job responsibilities;
  • Minimum two years working with Microsoft Office products and computerized accounting software;
  • Valid driverís license and good driving record;
  • Payroll experience preferred. 

Work Environment

This job operates in a professional office environment using standard office equipment such as computer, telephone, photocopier, and fax machine.
